Paper Submission & Guidelines
Everything you need to prepare and submit your paper to SDEMPED 2027 — formatting requirements, ethics, review process, and submission steps.
Formatting
Paper Preparation
Papers must be prepared in the IEEE two-column conference format and must not exceed six pages, including the title, author information, figures, tables, and references. Authors should use the official IEEE templates (Word or LaTeX) available from the IEEE Author Center.
Official IEEE Templates
IEEE Author Center — Conference TemplatesDo not alter template margins, font sizes, or column widths. Non-compliant papers may be returned without review.
Ensure all figures are of sufficient resolution for print, all tables fit within column widths, and all references follow the IEEE citation style.
Ethics
Originality & Publication Ethics
All submissions must represent original work that has not been previously published and is not currently under review at any other conference or journal. Duplicate submission is a serious violation of IEEE publication ethics.
By submitting to SDEMPED 2027, authors affirm that the work is their own, all sources are properly cited, and that appropriate credit is given to prior contributions. IEEE reserves the right to investigate and act on suspected cases of plagiarism, self-plagiarism, or data fabrication in accordance with the IEEE Publication Services and Products Board Operations Manual.
Authors are responsible for obtaining any necessary permissions for the reproduction of copyrighted material included in their submission.
IEEE Policy
AI-Generated Content
In accordance with IEEE policy, the use of AI-generated content in a manuscript must be clearly disclosed. AI tools cannot be listed as authors.
Where AI tools have been used — for language editing, literature summarisation, or data analysis — authors must describe this use in the paper. Authors remain fully responsible for the accuracy, integrity, and originality of all content.
Undisclosed use of AI-generated content may be treated as a breach of publication ethics. Consult the latest IEEE Author Center guidelines.
Submission Process
Initial Submission
Authors must submit a complete manuscript — abstract-only or extended abstract submissions are not accepted. The submission must be in PDF format. The manuscript will be reviewed in the form submitted.
All submissions are made through the conference management portal. Upload your PDF and complete the required metadata (title, abstract, keywords, author details). You may revise your submission before the submission deadline.
Ensure that your PDF does not contain password protection, that all fonts are embedded, and that the file size is within the portal's limit.
Review
Peer Review Process
All submitted papers undergo rigorous peer review by members of the Technical Programme Committee. Reviews assess originality, technical quality, clarity of presentation, and relevance to the symposium scope.
The review process follows standard IEEE conference practice. Authors will receive reviewer comments along with their notification. For accepted papers, authors must address reviewer comments in the camera-ready version.
Camera-Ready
Final Paper Preparation
Upon acceptance, authors will receive detailed instructions for preparing the camera-ready version. The camera-ready must incorporate all revisions requested by reviewers and must pass IEEE PDF eXpress validation before upload.
Camera-ready papers must be uploaded through the conference management portal by the stated deadline. Late camera-ready submissions may result in exclusion from the proceedings.
PDF Validation
IEEE PDF eXpress
IEEE PDF eXpress validates and converts your document into an IEEE Xplore-compatible PDF. Authors of accepted papers will receive a conference-specific code with their camera-ready instructions.
Important: PDF eXpress is a PDF preparation service — not the submission portal. After obtaining your compliant PDF, upload it through the conference management portal.
The PDF eXpress site is at ieee-pdf-express.org. Conference-specific setup instructions will be provided to accepted authors.
Copyright
Copyright Transfer
Authors of accepted papers are required to complete an IEEE Electronic Copyright Form (eCF) as part of the camera-ready submission process. Papers without a completed copyright form cannot be included in the proceedings.
The eCF will be made available through the conference management portal once acceptance notifications are sent.
Registration
Author Registration Requirement
For each accepted paper to be included in the proceedings, at least one author must complete a valid registration by the author registration deadline. Papers without an eligible author registration may be withdrawn from the programme and proceedings.
See the Registration page for information on registration categories and fees.
